Purpose and Request:
recommended action
Per Financial Policy 6.3 - Petty Cash Policy, the Finance Department is requesting that the Board of County Commissioners approve the creation of petty cash funds at two locations for the District Attorney's Office. The purpose of this request is to make available, as necessary, cash in reasonable amounts to the District Attorney's Office so that it may provide funding for staff to provide funding for victim assistance and witness protection and expenses.

Background and Discussion: In order to provide a smooth transition from the existing multi-county District Attorney's Office for the 18th Judicial District to the new single-county District Attorney's Office under the financial policies and procedures of Arapahoe County, the Finance Department requests the Board's approval for the establishment of petty cash funds at two District Attorney locations as of January 1, 2025. The petty cash is used to meet the immediate needs of the District Attorney's Office prosecutors and investigators to provide payment for lodging, meals, and other expenses for victims and for witnesses. The locations and amounts of the petty cash funds are as follows:
1. District Attorney's Office Administration - 6450 S. Revere Parkway, Centennial for $2,500.
2. Arapahoe County Justice Center - District Attorney's Office - 7325 S. Potomac Street for $1,000.
Alternatives: The Board could choose to not approve this request for a petty cash fund which would make providing cash for these types of victim and witness situations very difficult and cumbersome.

Fiscal Impact: There is no fiscal impact to the County as these petty cash disbursements would be reflected in the expenditures of the District Attorney's Off...
